Office Manager + The Bird House Coordinator

Part-Time Β· In-Office, Columbia MO Β· $22–$25/hour DOE Β· Reports to Ownership


The Role

Hoot Design Company is looking for an Office Manager who is equal parts detail-obsessed, genuinely warm, and allergic to passivity. This is a role for someone who walks into a room and makes it better. Someone who sees what needs to happen before anyone asks, and does it.

You will be the in-person, office support for our team and the first impression of The Bird House β€” our immersive Brand Being laboratory where clients come to do the hardest, most important work of their professional lives. You will also provide executive assistant support to our senior leadership, helping them protect their time, attention, and bandwidth so the work at the highest level of the company actually gets done.

This role requires someone who is equally comfortable resetting a client suite between overnight stays and managing a complex leadership calendar. You are organized without being rigid, hospitable without being performative, and self-directed enough that the words "no one told me" are not in your vocabulary.


What You’ll Do

Office Management

  • Manage the daily operations of our headquarters β€” the physical space, supply inventory, vendor relationships, and anything that keeps the office running smoothly

  • Coordinate and manage office vendors: cleaners, maintenance, deliveries, and any service partners

  • Own the incoming communications, mail, and administrative systems that keep the team organized

  • Anticipate what's needed before it's requested β€” office supplies, snacks, client refreshments, event setups

  • Support team culture by keeping the space clean, organized, and representative of the brand we're proud of

The Bird House β€” Rental Coordination + Hospitality

  • Serve as the primary point of contact for Bird House rental inquiries β€” responding promptly, professionally, and warmly

  • Manage the rental calendar, booking logistics, and guest communications from inquiry through checkout

  • Perform light cleaning and full linen and laundry turnover between guest stays to ensure the space is guest-ready at every reset

  • Restock the Bird House between stays β€” coffee, essentials, hospitality touches β€” so every guest experience feels intentional

  • Identify and flag any maintenance needs, damage, or supply shortages immediately

  • Uphold the Bird House standard: a space that reflects the quality of work that happens inside it

Executive Assistant Support to Senior Leadership

  • Provide direct EA support to senior leadership β€” managing priorities, communications, and logistics so they can focus on the highest-value work

  • Coordinate leadership schedules, travel, appointments, and any time-sensitive needs

  • Anticipate leadership needs proactively rather than waiting to be asked

  • Handle research, vendor sourcing, gifting, and miscellaneous tasks that free up leadership bandwidth

  • Operate with discretion β€” you will have access to sensitive information and the expectation of confidentiality is absolute

The Details

Schedule + Location

  • Part-time, in-office Monday through Thursday β€” Core Collaboration Hours: 9:00 AM – 2:00 PM

  • Flexible Fridays β€” work from home or office, your choice

  • Occasional early arrivals or evening availability for Bird House turnover between stays

  • Based in Columbia, Missouri β€” this is an in-person role

Compensation

  • $22–$25/hour depending on experience

  • This role is part-time; hours will be consistent and scheduled
